Event Coordinator

About the role

You will join a boutique agency that provides operational services to small businesses in the United States. As an Event Coordinator you will own the end‑to‑end event process, from the first client inquiry to post‑event follow‑up, delivering white‑glove service remotely.

Key responsibilities

• Handle incoming event inquiries, prepare quotes and proposals, send contracts, issue invoices and manage follow‑ups.
• Serve as the primary point of contact for clients throughout the event lifecycle.
• Coordinate logistics with vendors, venues, contractors and third‑party partners.
• Maintain calendars, inboxes, and organize documents such as contracts, proposals, quotes and invoices.
• Track inventory, manage appointment scheduling and support business‑development activities.

Required profile

• Minimum 1 year of experience in event coordination, administration or operations (full‑cycle, not day‑of only).
• At least 2 years of experience working with clients in the United States, United Kingdom, Canada or Australia.
• Fluent spoken and written English.
• Reliable internet connection with a backup and ability to work scheduled remote hours consistently.
