AI Operations Executive (Onboarding)

About the role

Darwin AI is looking for an Onboarding Executive to join its Operations team. The role sits in the first phase of the customer journey, helping clients realise the value of Darwin AI from day one by kickstarting client relationships, turning requirements into functional AI assistants and ensuring a smooth implementation.

Key responsibilities

• Carry out the onboarding of new client accounts, collecting and configuring the information needed for a successful launch.
• Run kick-off meetings with clients to align expectations, gather requirements and explain the onboarding journey.
• Build and configure AI assistants using internal tools, based on client needs and business logic.
• Collaborate with Sales, Customer Support and Product teams for a seamless handoff and a unified client experience.
• Maintain regular contact with clients via WhatsApp, following up to resolve blockers and keep progress on track.
• Deliver the first version of the AI promptly and meet quality standards before go-live.
• Monitor onboarding timelines so accounts are launched within the SLA and not flagged as churn risks.
• Provide initial training and resources so clients can test and understand their AI agent.

Required profile

• Proven experience in Customer Experience, Onboarding or Technical Support roles.
• Ability to analyse client needs and turn them into technical configurations.
• Experience creating and managing JSONs and understanding structured logic flows.
• Strong organisational skills to handle several onboarding projects in parallel.
• Team player able to collaborate across departments and adapt to dynamic environments.
• Excellent verbal and written communication, with a proactive, client-first attitude.
