About the role
The Ledger Law Firm is seeking a highly organized, detail‑oriented Administrative Assistant to support daily operations in our Newport Beach office. This role is ideal for a proactive professional who enjoys creating order, solving problems, and supporting legal teams in a fast‑paced personal injury environment.
Key responsibilities
- Manage day‑to‑day administrative and clerical tasks.
- Answer, screen, and direct phone calls professionally.
- Provide executive‑level administrative support to leadership staff.
- Maintain organized digital and physical records.
- Assist with document management, data entry, filing, scanning, and correspondence.
- Coordinate internal communications and ensure tasks are completed efficiently.
- Support billing, bookkeeping, vendor records, or payment‑related tasks as needed.
- Help with calendar management, scheduling, and follow‑up reminders.
- Contribute to improving internal systems, workflows, and office organization.
- Communicate professionally with clients, attorneys, staff, vendors, and external parties.
- Handle confidential information with discretion.
Required profile
- Strong administrative, clerical, and organizational abilities.
- Excellent attention to detail and follow‑through.
- Professional phone etiquette and strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast‑paced office environment.
- Dependable, professional, and tech‑savvy.
