Intellectual Property Legal Assistant (Remote)

About the role

Job Duck is looking for a detail‑oriented Intellectual Property Legal Assistant to support IP operations for US‑based clients. This remote position involves working closely with attorneys to manage trademark and patent filings, track deadlines, and maintain accurate documentation.

Key responsibilities

• Provide administrative and operational support to IP attorneys.
• Coordinate meetings, calendars, and deadlines across teams.
• Prepare and file trademark applications and related documentation.
• Conduct trademark and patent research using relevant databases.
• Collaborate with international counsel for global filings.
• Assist with enforcement tasks, including cease‑and‑desist letters and disputes.
• Draft and manage responses to Office Actions, Statements of Use, and other filings.
• Track deadlines and ensure timely submission of all IP‑related filings.
• Maintain and update intellectual property docket systems.
• Serve as primary contact for clients regarding trademark status and updates.
• Support onboarding of new clients into IP management systems.
• File and organize legal documents such as declarations, assignments, and POAs.
• Assist with billing entries, fee tracking, and scheduling activities.

Required profile

• At least two years of remote work experience.
• Strong English communication skills.
• Prior experience in a law firm or with U.S.‑based companies preferred.
• Background in intellectual property, trademark, or patent work is a plus.

Required skills

• Familiarity with IP database research.
• Experience using trademark filing systems.
