Design Team Administrative Assistant – Remote (LATAM)

About the role

The Design Team Administrative Assistant will support a premium U.S.-based residential interior design firm by handling purchasing, project coordination, documentation, and client communication. This full‑time remote position is focused on keeping multiple design projects organized from concept through installation.

Key responsibilities

• Place and manage product orders, monitor budgets, and track deliveries across vendors.
• Coordinate time‑sensitive deliveries with installers to maintain project timelines.
• Maintain accurate purchasing records in project management software and resolve any order issues.
• Serve as a liaison between clients, designers, and internal teams, updating project files and management systems.
• Prepare client presentation materials, document meeting notes, and send onboarding checklists.
• Communicate project handoff details, create short instructional videos, and respond to client inquiries post‑delivery.
• Prepare installation guides, manage replacement requests, and review client revision requests.

Required profile

• Highly organized and proactive with experience supporting design or creative teams.
• Comfortable taking ownership of processes with minimal supervision.
• Strong written communication skills for client interaction and documentation.

Required skills

• Experience using project management software.
