Purchasing, Logistics & Compliance Coordinator

About the role

We are looking for a highly organized Purchasing, Logistics & Compliance Coordinator to support our international purchasing operations, import logistics, and food‑safety compliance. The role connects purchasing, logistics, sales, quality, and accounting teams to ensure smooth communication and efficient service delivery to customers and vendors.

Key responsibilities

• Create, track, and document purchase orders; communicate pricing, availability, and order status with domestic and international suppliers.
• Maintain supplier records, contracts, product specifications, and support inventory planning by monitoring stock levels and lead times.
• Coordinate inbound shipments with freight forwarders, customs brokers, and warehouses; track shipments and provide status updates.
• Prepare import documentation (commercial invoices, packing lists, certificates of analysis, bills of lading) and assist with customs clearance.
• Maintain food‑safety and regulatory records, support compliance with FDA, FSMA, HACCP, and GFSI standards, and assist with internal and customer audits.
• Serve as primary contact for customers throughout the order process, handling inquiries, shipment issues, and claims.
• Maintain organized digital filing systems, prepare reports and spreadsheets for management, and support cross‑functional communication.

Required profile

• Analytical and proactive with strong attention to detail.
• Highly organized and able to manage multiple priorities in a fast‑paced, international environment.
• Comfortable coordinating with suppliers, freight partners, and internal teams across different time zones.
• Excellent written communication skills in English.
