Executive Assistant for Growing CPA Firm

About the role

We are seeking a proactive, detail‑oriented Executive Assistant to support the leadership team of a growing CPA firm. The role is fully remote and ideal for a highly organized professional who thrives in a fast‑paced, client‑focused environment.

Key responsibilities

• Manage calendars, scheduling and email communications for firm leadership.
• Maintain and update CRM records in HubSpot, creating contacts, companies and deals from meeting notes and AI‑generated summaries.
• Create and edit client‑facing proposals and presentations using Canva.
• Update internal workflow systems, budgets and administrative records.
• Assist with process improvements and identify opportunities to streamline operations.
• Provide general executive and administrative support as needed.

Required profile

• 3–5+ years of experience as an Executive Assistant, Virtual Assistant or similar administrative role.
• Excellent written and verbal English communication skills.
• Strong organizational abilities with exceptional attention to detail.
• Ability to work independently, prioritize tasks and proactively solve problems.
• Experience supporting professional services firms (accounting, legal, consulting) is strongly preferred.
