Bid Coordinator / Proposal Specialist

About the role

Vialto is seeking a Bid Coordinator/Specialist to support Pursuit Strategists and Proposal Managers in creating high‑quality client proposals. You will play a key role in coordinating content, ensuring compliance, and delivering compelling proposals on time.

Key responsibilities

• Review new RFPs, break down requirements, deadlines and deliverables.
• Draft and tailor proposal content such as executive summaries, service overviews, methodologies, bios and case studies.
• Edit inputs from subject‑matter experts to ensure clarity, consistency and client‑ready language.
• Load RFPs and proposal materials into the automation platform, set up projects correctly and maintain timelines.
• Coordinate day‑to‑day proposal activity, track inputs, send reminders and manage follow‑ups.
• Support kick‑off sessions, compliance checks, submission uploads and post‑submission administration.

Required profile

• 2+ years of experience in proposal writing, editing and bid support within professional services or B2B.
• Excellent written English with strong attention to detail.
• Ability to work under time pressure, prioritize multiple tasks and deliver consistently.

Required skills

• Proficiency in MS Word, PowerPoint, Adobe and document formatting best practices.
• Experience with proposal automation tools such as Loopio, Responsive and SharePoint.
• Familiarity with RFP portals like Ariba, Jaggaer or SAP.
• Use of AI tools (Copilot, Claude) in daily work.
