About the role
The Ledger Law Firm is looking for a highly organized, detail‑oriented Executive Administrative Assistant to support the Firm’s Founder remotely. This position offers the chance to build a meaningful career in a fast‑paced personal injury law environment while handling a wide range of administrative tasks.
Key responsibilities
- Manage day‑to‑day administrative and clerical tasks for the Founder.
- Communicate in English at C1 level with staff, vendors, and external parties on behalf of the Founder.
- Provide executive‑level support, including calendar management, scheduling, and follow‑up reminders.
- Maintain organized digital and physical records, handling document management, data entry, filing, scanning, and correspondence.
- Coordinate internal communications and ensure tasks are completed efficiently.
- Assist with billing, bookkeeping, vendor records, and payment‑related tasks as needed.
- Help improve internal systems, workflows, and office organization.
- Handle confidential information with discretion and professionalism.
Required profile
- Strong administrative, clerical, and organizational abilities.
- Excellent attention to detail and follow‑through.
- Professional phone etiquette and strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast‑paced environment.
- Proactive mindset with willingness to take ownership of tasks.
- Team‑oriented, reliable, and respectful interpersonal style.
Required skills
- Proficiency with AI tools.
- Experience using QuickBooks.
- Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel).
- Familiarity with general office software and legal case management tools.
