Reservations Coordinator – Remote (Boutique Hotel)

About the role

Callicoon Hills, a boutique hotel and event venue in the Catskills, is seeking a remote Reservations Coordinator. You will be the engine that keeps all guest bookings, group room blocks, and event lodging running smoothly while providing a seamless experience for both guests and the on‑property team.

Key responsibilities

• Manage day‑to‑day reservations: new bookings, modifications, cancellations, confirmations, and guest inquiries.
• Coordinate group room blocks from setup through cutoff, maintaining guest lists and rooming lists.
• Process refunds, billing adjustments, and reservation corrections with accuracy.
• Support lodging logistics for weddings, corporate retreats, and other on‑property events.
• Serve as the communication bridge between remote reservation activity and the on‑property team, ensuring arrival notes and special requests are captured.
• Maintain clean, accurate records in the hotel’s reservation and property management systems.
• Handle pre‑arrival guest communications, including confirmations and logistical follow‑ups.
• Troubleshoot reservation issues proactively with a service‑first approach.

Required profile

• Hands‑on hospitality experience, preferably in boutique hotels, resorts, or independent properties.
• Familiarity with group room blocks, event lodging, or wedding/retreat coordination.
• Comfortable working independently in a remote environment while staying tightly connected to an on‑property team.
• Strong written communication with a polished, professional guest‑facing tone.
• Highly organized, detail‑oriented, and able to juggle multiple requests without losing track.
• Calm under pressure, flexible, and genuinely team‑oriented.
