HR Office Coordinator

About the role

We are seeking a highly organized, proactive, and people‑oriented HR Office Coordinator to join our People team. In this position you will act as the local HR representative, supporting employees and managers while ensuring a smooth, compliant, and engaging office environment.

Key responsibilities

• Provide day‑to‑day support to the Regional HR Manager on people‑related matters and HR initiatives.
• Serve as the main point of contact for office operations, overseeing safety, functionality, and employee experience.
• Coordinate vendor management, reception services, office supplies, access control, and general maintenance.
• Lead local Health & Safety initiatives, ensuring mandatory training and regulatory compliance.
• Partner with Facilities, IT, Finance, Procurement, Security and other functions to meet operational needs.
• Support regional and local HR initiatives, facilitating communication and stakeholder coordination.
• Manage onboarding logistics, including HR inductions, welcome packs, workplace setup and coordination with Talent Acquisition.
• Organise occupational health appointments and ensure compliance with health & safety requirements.
• Plan and execute employee engagement, wellbeing activities, team events and internal celebrations.
• Provide administrative support for meetings, office events, visitors and local business initiatives.
• Distribute employee resources such as HR materials, benefit cards and welcome packages while maintaining confidentiality.
