Executive Assistant (Remote, EST Hours)

About the role

Collective Residential seeks a proactive Virtual Executive Assistant to support its CEO across multiple companies. This remote position operates on EST business hours and requires flexibility for urgent, high‑priority tasks outside standard times.

Key responsibilities

• Manage complex, multi‑time‑zone schedules for internal and external meetings, calls, and events.
• Coordinate domestic and international travel, including flights, accommodations, and ground transportation.
• Support event planning for leadership meetings, board sessions, and special projects.
• Anticipate the CEO’s needs, resolve issues proactively, and provide day‑to‑day administrative support such as email management and document preparation.
• Maintain strict confidentiality while handling sensitive company and personal information.
• Act as the primary point of contact between the CEO and internal/external stakeholders.
• Adapt seamlessly between multiple business priorities, handling shifting demands with professionalism.
• Be available during evenings or weekends for urgent CEO support.
• Leverage technology and AI tools to improve efficiency and streamline workflows.

Required profile

• 10+ years of experience as an Executive Assistant supporting C‑level executives in fast‑paced environments.
• Fluent English with excellent written and verbal communication and a neutral accent.
• Highly proactive, detail‑oriented, and strong organizational and problem‑solving abilities.
• Strong discretion and judgment when handling sensitive information.
• Ability to work consistently during EST hours with flexibility for urgent needs.
• Comfortable navigating ambiguity and change across multiple companies.

• Hourly rate of $12‑$18 based on experience (approximately $2,400‑$3,000 per month).
