Executive Assistant (3-6 month temp-to-hire) – Novato

About the role

We are looking for a highly organized, tech‑savvy Executive Assistant to support senior leaders in a fast‑paced environment. This temporary 3‑6 month assignment offers the possibility of a temp‑to‑hire transition and is based onsite in Novato.

Key responsibilities

• Provide high‑level administrative support to senior executives.
• Manage complex, frequently changing calendars and prioritize competing demands.
• Coordinate meetings from scheduling to follow‑up, including agendas, materials, logistics, and action items.
• Prepare presentations, correspondence, reports, and other executive‑facing documents.
• Arrange travel itineraries, handle expense reporting, and maintain accurate records.
• Organize and facilitate virtual meetings using Microsoft Teams and related collaboration tools.
• Track deadlines, deliverables, and key priorities to ensure timely follow‑through.
• Handle confidential information with discretion and sound judgment.
• Support special projects and identify opportunities to improve administrative processes.

Required profile

• Minimum 3 years of experience providing executive‑level administrative support.
• Experience supporting directors, VPs, C‑suite, or other senior leaders.
• Strong organizational skills, attention to detail, and ability to work independently.
• Excellent written and verbal communication skills.
• Experience in a regulated or complex environment (e.g., life sciences, higher education, nonprofit) is preferred.

Required skills

• Microsoft Teams (meeting coordination, breakout rooms, channels, shared resources).
• Microsoft Office suite – Word, Outlook, Excel, PowerPoint.
