Patient Recruitment Specialist

About the role

The Patient Recruitment Specialist coordinates and delivers patient recruitment and retention services for assigned clinical studies. Working closely with Patient Recruitment Leads, the role ensures operational activities align with the approved recruitment strategy and study timelines.

Key responsibilities

• Coordinate operational execution of recruitment and retention deliverables across multiple countries.
• Manage translations, printing, and shipping of patient‑facing and study materials.
• Prepare country‑specific regulatory submission packages and deliver them on schedule.
• Track study timelines, milestones, and deliverables using Smartsheet or other project‑management tools.
• Enter and maintain large volumes of study data in designated tracking systems.
• Support finance activities, including periodic project and financial reporting.
• Upload, maintain, and quality‑control study documentation in eTMF/Wingspan or similar systems.
• Identify operational risks or data discrepancies and communicate mitigation actions.

Required profile

• Strong organizational skills with the ability to manage multiple tasks simultaneously.
• Experience working cross‑functionally with regulatory, project management, finance, and clinical operations teams.
• Ability to exercise independent judgment, prioritize work, and escalate issues appropriately.

Required skills

• Proficiency with Smartsheet or comparable project‑management software.
• Experience using electronic trial master file systems such as eTMF or Wingspan.
• Familiarity with translation coordination, printing, and shipping processes for study materials.
