Onboarding Coordinator (US & Canada)

About the role

We are looking for an Onboarding Coordinator to support the onboarding of project‑based hires across the United States and Canada for TransPerfect. The role acts as the main point of contact between new hires, recruiters, HR, and payroll to ensure a smooth and compliant start.

Key responsibilities

• Manage a high volume of onboarding for project‑based employees, ensuring all steps are completed on time for payroll.
• Set up hire profiles in the HRIS system and request/verify required documentation.
• Coordinate with hires and managers on project start‑up preparations and respond to onboarding‑related queries.
• Process timecards, review and adjust them, and handle paid sick leave requests according to location policies.
• Prepare and submit reports for payroll processing, including new‑hire, termination, and hours reports.
• Handle off‑boarding of project‑based employees and respond to unemployment claims and verification requests.
• Provide general HR administrative support and direct employees to appropriate HR personnel.
• Participate in special projects and duties as required.

Required profile

• Administrative experience, preferably in an HR or recruitment function.
• High accuracy, ability to manage multiple tasks and meet tight deadlines.
• Strong independent work ethic and ability to collaborate with global teams.
• Excellent oral and written communication skills in English.
• Flexibility to adapt in a fast‑paced, changing environment.

Required skills

• Proficiency in Microsoft Office.
• Experience with HRIS tools (preferred).
