Medical Virtual Assistant – Full-Time Remote

About the role

We are looking for a reliable and detail‑oriented Medical Virtual Assistant to support our growing healthcare operations remotely. The role involves managing patient appointments, handling communications, and ensuring compliance with HIPAA regulations.

Key responsibilities

• Schedule and manage patient appointments efficiently.
• Handle inbound and outbound calls for appointment setting and follow‑ups.
• Maintain accurate patient records and documentation.
• Perform general administrative tasks such as email management, data entry, and CRM updates.
• Ensure all communications and data handling comply with HIPAA regulations.
• Coordinate with healthcare providers and internal teams.

Required profile

• Proven experience as a Medical Virtual Assistant or in a similar role.
• HIPAA training or certification (required).
• Strong experience in appointment setting and patient communication.
• Background in administrative support, preferably in healthcare.
• Physical Therapy (PT) clinical experience is a strong plus.
• Excellent English communication skills, both spoken and written.
• Highly organised with strong attention to detail.

Required skills

• Proficiency with EMR/EHR systems.
• Experience using scheduling tools.
• CRM system experience.
• Familiarity with platforms such as Kareo or Athenahealth.
