Facilities Analyst – Operations & Customer Service

About the role

The Facilities Analyst provides essential operational support for office maintenance, reception, vendor management, and events. Acting as the primary point of contact for employees, clients, and visitors, the role ensures service level agreements and key performance indicators are consistently met.

Key responsibilities

• Maintain front‑desk appearance, greet visitors, and manage reception area.
• Deliver prompt, professional customer service and handle inquiries via chat or in‑person.
• Coordinate mail, courier, and messenger services locally and internationally.
• Manage access cards, keys, locker assignments, and parking records.
• Lead onboarding/off‑boarding office orientation and parking control.
• Process internal event tickets, communicate room layouts, and support event set‑up.
• Provide on‑site assistance at events, ensure smooth check‑in, and resolve last‑minute issues.
• Conduct post‑event room inspections, trigger cleaning, and log outcomes.
• Perform regular site walkthroughs to verify cleanliness, safety, and compliance.
• Respond to building work orders and ensure timely resolution.
• Handle administrative tasks such as scanning legal documents and managing lost‑and‑found inventory.
• Participate in cross‑functional alignment meetings and report safety or regulatory concerns.
