Associate Workplace Specialist

About the role

The Associate Workplace Specialist supports the Facility Manager in daily site operations, ensuring that workplace services run smoothly and efficiently. This position is primarily administrative with occasional light‑hands‑on tasks.

Key responsibilities

• Coordinate preventive and corrective maintenance for MEP systems and building infrastructure.
• Serve as point of contact for contractors and vendors for repairs and equipment.
• Track and update work orders using Planon, ServiceNow, and Agile.
• Maintain documentation such as floor plans, space usage, and equipment inventories.
• Monitor energy, water usage and waste separation compliance.
• Support janitorial standards, cafeteria services, break‑area supplies, and inter‑office deliveries.
• Assist with seating plans, workspace readiness, and logistics for site visits, events, and corporate guests.
• Manage vendor onboarding, PR/PO issuance, invoicing and payment documentation.
• Assist in EHS inspections, audits and compliance checks.

Required profile

• Technical or associate degree in Facility Management, Engineering or related field.
• Experience in facilities or workplace operations.
• Advanced English proficiency (spoken and written).
• Strong organizational and communication skills.
• Proactive, service‑oriented mindset with flexibility for occasional hands‑on tasks.

Required skills

• Familiarity with MEP systems.
• Experience with workplace technology platforms such as Planon, ServiceNow, Agile.
