Virtual Assistant – Finance & QuickBooks (Remote)

About the role

High Scale is seeking a remote Finance Virtual Assistant to keep its books immaculate and support day‑to‑day financial operations. You will work closely with leadership to provide real‑time financial visibility while the creative teams focus on scaling brands.

Key responsibilities

• Manage QuickBooks Online: categorize transactions, reconcile banks weekly, and run reports.
• Handle Accounts Payable and Accounts Receivable, ensuring timely bill payments and invoice tracking.
• Assist in preparing monthly P&L statements and Balance Sheets.
• Maintain expense trackers in Google Sheets/Excel for project budgets and production costs.
• Audit team expense reports for policy compliance.
• Organize digital financial files (contracts, receipts, invoices) in Google Drive.
• Support vendor onboarding by collecting W‑9s and payment details.
• Perform ad‑hoc data entry and research for Operations and Finance teams.
• Monitor cash flow, follow up on outstanding invoices, and update weekly cash‑flow projections.

Required profile

• 2–4 years of bookkeeping, finance, or finance‑focused virtual assistance experience.
• Proficiency with QuickBooks Online (QuickBooks Pro certification preferred).
• High attention to detail, confidentiality, and trustworthiness.
• Strong organizational and proactive work style.
